Grocery Program Coordinator
Job Description
Department: Client Services
Reports To: Executive Director
Time Commitment: 20 hours/week
FTE: .5
Schedule: Monday - Thursday (Some weekends and evenings)
Travel Required: Approximately 10-20 miles/week
POSITION TITLE: Grocery Program Coordinator
PURPOSE: To coordinate a volunteer supported grocery shopping and delivery service for older adults in multiple locations.
PRINCIPAL RESPONSIBILITIES
Oversee the activities of the grocery program including order taking, shopping, check-out, delivery, required data input and management, and volunteer management;
Review orders for accuracy and prepare for volunteer assignments;
Maintain grocery order call lists;
Coordinate volunteer activities within the program;
Distribute orders to grocery store and assist with shopping, check-out, and delivery as needed;
Recruit and retain volunteers to meet the needs of the program and allow for program expansion;
Provide supervision and training to volunteers in the program;
Enroll new clients to receive grocery shopping and delivery service with Age Well Arrowhead and The designated grocery site;
Be the liaison between Age Well Arrowhead and the grocery sites;
Provide a high level of customer support to clients, volunteers, and colleagues;
Monitor all client accounts and take collection actions as required;
Participate in strategic planning activities to improve processes and support program growth;
Accurately track and report completion of grocery orders for billing and reporting purposes;
Responsible for program expansion to new locations;
Conduct promotional activities to grow the grocery program, bring awareness of the service, and recruit volunteers and enroll new clients;
Development of streamlined process and procedures to ensure accuracy and efficiency in program delivery;
Communicate program updates or changes to clients, volunteers, Age Well staff, and key store staff;
Work in conjunction with the Outreach and Events Coordinator to promote the Grocery Program;
Report on program activities for supervisors, funders, and Board of Directors;
Provide weekly activity reports for billing purposes.
REQUIREMENTS
Bachelor’s Degree in related filed or five years equivalent experience;
Ability to pass a background check;
Commitment to attention to detail ;
Organizational skills;
Editing skills;
Ability to work as part of a team;
Follow agency confidentiality guidelines as outlined by the agency;
Ability to problem solve and provide excellent customer service;
Ability to work independently and interdependently;
Ability to communicate effectively both orally and in writing;
